What is the Marketing Dashboard?
Create branded emails, keep your subscribers organised and send useful updates from your clinic.
This guide takes you through accessing your account, setting up your sending domain, adding contacts and preparing your first campaign.
What you’ll achieve
By the end of this guide, you’ll know how to:
Access your Email Campaigns account.
Set up your clinic’s sending domain.
Import your subscribers.
Create, test and send your first email.
Before you begin
You’ll need:
An active Aspirium Email Marketing subscription and your account login details.
A clinic email address you can access, such as hello@yourclinic.co.uk.
Access to your domain’s DNS settings, or help from whoever manages them.
Your clinic logo, contact details and website address.
A subscriber list you are permitted to email.
Important: Being a patient does not automatically mean someone can receive marketing emails. Check your permission to contact each subscriber and preserve any previous unsubscribe records when moving from another platform.
Open your Email Campaigns account
Log in to your Aspirium dashboard and select Email Marketing. Your campaign account will open in a new window.
Use the login details associated with your Email Campaigns account. These may be different from your Aspirium dashboard login.
If you cannot access your account, contact Aspirium Support.
Set up your sending domain
Your sending domain is the domain used in the email address your campaigns come from. For example, the sending domain for hello@yourclinic.co.uk is yourclinic.co.uk.
Before sending campaigns, complete both parts of setup:
Verification confirms that you control the domain.
Authentication adds DNS records that help receiving email services recognise your campaigns as authorised.
Open Settings → Advanced and find the Sending Domain section. Follow the available guided setup or manual setup instructions.
For manual setup, complete the verification email step and add the DNS records shown in your account. Copy the supplied names and values carefully.
If Aspirium manages your DNS: Contact support for help adding the records.
If another provider manages your DNS: Add the records through that provider, or forward the instructions to your website or domain administrator.
Once the records are saved, return to your campaign account and recheck authentication. DNS changes can take time to become visible.
Tip: Your Aspirium login address and your clinic’s sending domain serve different purposes. A working login address does not mean your sending domain is ready.
Prepare and import your contacts
Prepare a CSV file containing the subscribers you want to import. For email campaigns, include an email address for each contact. You can also include first and last names where available.
Before importing:
Remove invalid addresses and unnecessary columns.
Check that your subscribers can receive your marketing.
Preserve previous unsubscribes and exclusions.
Avoid uploading clinical notes or other unnecessary patient information.
Create the destination mailing list first. Then open Contacts → Import → Import from File and upload your CSV.
Match each column to the appropriate contact field, select your destination list and review the import settings before continuing.
Important: Imports can trigger existing automations. Check the Trigger Automations option before importing if you have automated emails running.
Create your first campaign
Open the Email section and create a new campaign. For a newsletter or one-off update, choose a Standard campaign.
Give it an internal name that you will recognise later, such as “October clinic newsletter”.
Select the list or segment you want to reach, then choose a template or start with a blank design.
Add:
Your clinic name and logo.
A clear subject line and preview text.
Your main message.
A button linking to the relevant booking or website page.
Your clinic’s contact details and required unsubscribe information.
Tip: Give each email one clear purpose. A focused message makes it easier for readers to understand what to do next.
Preview and test your email
Before sending, preview the design on desktop and mobile and send yourself a test email.
Check:
Spelling, dates and clinic details.
Images and text size.
Every link and button.
Your sender name and reply-to address.
Personalisation, including what happens when a first name is missing.
The unsubscribe link and footer.
Keep the required unsubscribe information in place when editing templates.
Send or schedule your campaign
Review your recipients, sending details and final email.
Send immediately or schedule it for later. If you schedule a campaign, check the account’s time zone before confirming the time.
After sending, open the campaign report to review performance and identify useful changes for your next email.
Troubleshooting
My domain is verified but not authenticated
Verification and authentication are separate checks. Confirm that all required DNS records have been added at the provider managing your domain’s DNS, then recheck authentication.
I haven’t received the verification email
Check spam and junk folders and confirm the address is correct. Request a fresh verification email from the sending-domain settings. If the link fails again, contact support with the error message.
My contacts will not import
Check that the file is saved as CSV and that the columns are mapped correctly. Review the import results for skipped records or errors.
My test email looks different on my phone
Email applications display layouts differently. Use a simple design, readable text and appropriately sized images, then test again.
Someone previously unsubscribed
Do not import them as an active marketing subscriber. Preserve their unsubscribe or exclusion status when moving between systems.
Next Steps
Once your account is ready, you can:
Save a reusable clinic email template.
Organise subscribers using lists and tags.
Plan your next newsletter.
Review campaign results to improve future emails.
Still need help?
Contact Aspirium Support with a brief description of the problem, the affected domain or campaign name, and a screenshot of any error.
